Clearance Process
How long does the clearance process typically take?
The time it takes to collect all the appropriate documentation varies from person to person. It may also take more time if you have to acquire any mandatory vaccinations. Our advice is to get started as soon as possible to ensure you are cleared before your rotation begins.What is the deadline to have my clearances completed?
We recommend no later than one week prior to the start of your Prisma Health student experience. That will provide enough time for everything to be ready for your arrival.Note: You cannot start your rotation if your clearances are incomplete.
How long is clearance good for?
It depends on if your myClinicalExchange (mCE) checklist items (i.e. TB PPD, flu shot, licensure) remain in compliance. If any expire during your rotation or before the start of your next rotation, then they will need to be updated before any new rotation can begin.Will I be notified when the clearance process is complete?
You will be notified via email from myClinicalExchange (mCE) that your items have been approved and to login to confirm. When you see the green thumbs up in mCE, you are cleared!I am a Prisma Health employee; do I need to be cleared?

What is myClinicalExchange (mCE)?
A student data management system that Prisma Health uses to centralize the clearance process. It helps you organize all your clearance requirements and helps us approve them quickly and easily.How do I log in to myClinicalExchange?

Always enter information in the “Value” column rather than the “Comments” column. The “Value” column is read by the system as a field completed. The comment column is not.I have a red thumbs down but I entered everything, what do I do?
– Make sure you hit the SUBMIT button rather than the SAVE button so that Student Affairs Administration or your school coordinator can review your checklist.
– Make sure none of your immunization/requirements will be out of date before the start of your rotation.
– Also, if you are in a nursing rotation that requires EPIC training, you will not receive the green thumbs up until your EPIC training has been completed and your clinical coordinator has entered your training information into mCE on your behalf.Learning Hub
How do I get access (User ID and password) to Learning Hub?

Yes. Prisma Health now uses Learning Hub instead of HealthSteam for compliance modules. You must complete the required Learning Hub modules before the start of your rotation and annually.When do the Learning Hub modules have to be completed?
Learning Hub modules need to be completed before the start of your rotation. You will not be cleared in myClinicalExchange until your modules are complete.Immunizations
What are the immunization requirements?

Yes. We do not allow for any exceptions to vaccination requirements. If exceptions are required then the student, unfortunately, cannot rotate at Prisma Health.Note: The ONLY vaccination that can be waived is the Hep B vaccination. However, you still have to complete the vaccination waiver located in the “DOCUMENTS” tab and upload it to your mCE compliance checklist.
What do I upload for the flu vaccine if it’s not flu season (Nov.-Apr.) and the vaccine is not available yet?
If your rotation is not during flu season, then this field is not required in mCE.What is a 2-step TB PPD?
The Tuberculin Skin Test (TST) is a screening method developed to evalutate an individual’s status for active Tuberculosis (TB) or Latent TB infection. The 2-Step TB PPD is recommended for initial skin testing of adults who will be periodically retested, such as healthcare workers. A 2-step is defined as two TSTs done within a reasonably short amount of time, typically within 1-4 weeks of each other; however, we can accept two TSTs done less than 11 months apart as a 2-step TST. This means that you would have an initial placement, return within 72 hours for the reading, and then you would return 5-7 days after the initial placement to have a second placement done followed by the reading within 72 hours.When do I need to have a 1 step vs. 2-step TB/PPD?
You would need a 2-step if you have never had a PPD or if your last 2-step was over a year ago. You can have a 1-step if you have had a 2-step and have consistently updated your 1-step PPD annually.Do I have to get the TB Skin Test?
No, Prisma Health now accepts TB blood tests (i.e., QuantiFERON Gold and T-spot).If I tested positive for TB exposure, what do I do? Can I still do my rotation?
You will have to get a chest x-ray and upload the results in myClinicalExchange. As long as your chest x-ray is negative, you can still do your rotation.Should I get the vaccine or titer?
If you have definitely had the vaccination in the past but just do not have your documentation, then you can get a titer to show the value of that vaccination in your blood. If you have never had the vaccination, you will need to get the vaccination. If you’re unsure, contact your healthcare provider.If I had chicken pox as a child, do I still need to have a varicella titer or vaccination?
Yes. Prisma Health does NOT accept “history of having the chicken pox” for your varicella requirement. You MUST have two varicella vaccines or a positive titer and upload documentation.Where can I get immunizations?

What do you mean by “passport” photograph?
The photo must follow the same requirements as a passport photo:
– Recent photo (taken within the last 6 months)
– Plain white/blue/grey background
– No sunglasses, hats, or headphones
– Full face directly facing the camera
– Neutral facial expressionCan I upload a picture of my license or passport?
No. These often have a hologram and do not print clearly.Can I take a selfie?
Yes, but only if you follow the same requirements as listed above for a passport photograph style.My photo meets the passport requirements; why was it rejected?
All photos must be submitted in JPEG format, along with meeting the passport requirements. Photos submitted in any other format will be rejected.Badges
I am a Prisma Health employee. Do I have to get another badge?
Yes. You are in a new role as a student, and your badge needs to reflect this.When will my badge be ready?
Your badge will be ready at least 24 hours after you receive a green thumbs up in mCE and an email confirming you have met all clearance requirements.What are the badge office locations and hours?

If your preceptor has agreed to extend your rotation, please ask them to email Student.Affairs@PrismaHealth.org with your name, email address, the new end-date for your rotation as well as the additional number of hours you will complete. If it is possible for your rotation to be expanded, you will be notified via email.Should I provide my own PPE?
Prisma Health will provide all clinical students PPE necessary for their roles. Any student in a non-clinical area is welcome to wear a cloth mask, due to concerns surrounding COVID-19.
